Reporting to Front Desk Officer
Job summary
Front Desk Officer oversees the manpower resources for all services and monitor all manpower to ensure their availability for duty at client sites or availability for standby positions and the status of reserves.
Key responsibilities.
- Ensure all compliance documents such as site files, post assessments, risk assessments, post orders, and training records are up to date.
- Ensure timely renewals and adherence to regulatory requirements.
- Foster strong relationships with clients within the designated area.
- Act as a point of contact for service-related matters, addressing any client concerns or requests promptly and effectively.
- Collaborate with the sales team to identify opportunities for upselling or expanding services.
- Respond to and helping coordinate security-related incidents.
- Assist data capture in incident investigations and help provide detailed incident reports.
- Maintain accurate records of site visits, control room performance, incidents, and client interactions.
- Assist in generating requested reports on service delivery metrics, compliance status, and other relevant information requested by management.
- Monitor the day-to-day operations within the designated area, ensuring adherence to company policies, procedures, and industry standards.
- Monitor the performance of security personnel, ensuring customer service excellence and taking corrective actions as needed.
- Monitor area operations ensuring that field operations are carried out professionally and in accordance with the policy.
- Monitor resource allocation, including personnel, equipment, and technology to meet operational demands.
- Collaborate with the emergency response team and local authorities to develop and implement emergency response plans.
- Assist in providing clear communication to security personnel on situational awareness of the incidents.
- Data capture to assist time and attendance data for Timesheets and HR.

- Demonstrate a high degree of sensitivity and confidentiality when dealing with internal and external customers.
- Ability to maintain accurate records and ensure confidentiality, security, and compliance with company policies and legal requirements.
Qualifications and Experience
- Malawi School Certificate of Education or its equivalent
- Qualification in commercial security
- Minimum three (3) years of security service experience in operations, staffing, finance, customer service, or human resource.
- Proven experience in time and attendance administration or a similar role, preferably in the security or related industry.
- Proven experience in security operations or a similar role.
- Experience at working at capturing data (client calls, service monitoring or directing staff) in a fast-paced and demanding environment.
- Knowledge of time and attendance systems and software.
- Proficiency in ICT, including Microsoft Office Suite (Excel, Word, Outlook).
- Knowledge of security industry regulations, procedures, and best practices.
- Computer literate and training in VHF Radio operation and Voice Procedure.
