Description

The Data Clerk will be based within a hospital setting and will support the Maternal and Neonatal Health Program by ensuring accurate, timely, and complete collection, entry, and reporting of data generated from routine clinical care and approved research activities. The role involves working closely with healthcare providers and research teams to support hospital record systems and maintain high-quality data essential for clinical audits, program monitoring, evaluation, and research reporting.

 

Responsibilities include but are not limited to the following

 

  • Data Entry of MNH data into program databases and electronic registers in a timely manner
  • Checks M&E tools, and ensures adequate supplies for data capture.
  • Participating in data collection and entry for program research projects and helps organize electronic and paper files at the facility.
  • Assisting in the preparation and collection of Monthly MNH and MOH reports and participates in monthly meetings as directed.
  • Notifying program management of data collection or integrity issues early and assists with data cleaning and validation to maintain high data quality.
  • Aiding in securing data through daily backups of the electronic database
  • Participating in quarterly and biannual supervisions and data quality assurance exercises, along with providing mentorship in data practices.
  • Maintaining operations in line with policies and procedures and reports necessary changes.
  • Verifying entered data by reviewing, correcting, deleting, or reentering data; combining data from multiple sources if it is incomplete; purging files to eliminate duplication of data.
  • Ensuring strict confidentiality of all records and information handled. Adhere to organizational policies on data protection and privacy.
  • Filing patient records in accordance with hospital and Ministry of Health record-keeping standards
  • Retrieving patient case files from the records office as required
  • Ensuring safe keeping, proper filing, and tracking of hospital records
  • Tracing and availing patient files for clinicians during re-admissions, follow-up visits, or clinical reviews
  • Collecting patient outcome and follow-up data through phone calls or site visits to referral facilities, as directed by the supervisor and in line with program protocol
  • Any other duties as may be assigned from time to time.

Requirements

  • Certificate in computer studies
  • Basic computer skills and demonstration of experience in data entry
  • Malawi School Certificate of Education
  • Ability to report matters/problems in a timely and professional manner
  • Excellent attention to details and high level of integrity.
